
REQUEST FOR PROPOSAL Rejuvenation of Thermopiles Issued on: May 22, 2026 Bid due date: July 6, 2026, by 2:00 P.M. AKST CLASSIFICATION: Rejuvenation of Thermopiles Request for Proposal Terms & Conditions: This request implies no obligation on the part of the buyer. All bids submitted must remain valid for a period of 60 days (unless otherwise specified). The Galena City School District ("School District or GCSD") reserves the right to negotiate the terms and conditions of any contract entered into as a result of accepting any bid submitted by the successful bidder(s). The Galena City School District is not responsible for any costs to the bidders for preparation of this bid. One or more addenda to the Request for Proposal (RFP) may be issued by the School District after the RFP process is opened. A copy of any addendum issued by the School District must be signed by the bidder and submitted along with its bid. While the School District will make reasonable efforts to notify bidders of any addenda, it is the sole responsibility of the bidder to verify whether any addenda/attachment has been issued. Bidders should check the School District website to ascertain if any addenda have been issued. The RFP protest period is for 10 days after the submittal deadline. Huntington High School and the Sidney C. Huntington Elementary School during the 2026-2027 winter months when the air temperature is below 0 degrees Fahrenheit in Galena, Alaska. SECTION 2 – SCOPE OF WORK The work includes travel to the site in Galena, Alaska, rejuvenating each thermopile, and verifying the operation of each thermopile to ensure that the work was successful. The valve on each of the 252 thermopiles will need replaced to prevent air from infiltrating the seal and displacing the refrigerant. Any existing air will need to be vacuumed from each thermopile to restore passive cooling. After all the 252 thermopiles are rejuvenated, they will need to be inspected to ensure that each one is operating appropriately, and a written report of the inspection results will need to be provided. Section 3 – SELECTION CRITERIA Proposals will be evaluated based on the following criteria, with points awarded out of 100 total: 1. Experience within the past ten years in providing similar services in Alaska, with emphasis on experience in rural interior Alaska, especially in areas with subarctic climate conditions – 60%; 2. Qualified staff – 25%; 3. Ability to perform the work during the 2026-2027 winter months when the air temperature is below 0 degrees Fahrenheit in Galena, Alaska – 15%. GCSD reserves the right to request additional information or clarification from bidders during the evaluation process.
